Cancellation Policy

We appreciate your help in keeping our schedule running efficiently. If you are unable to attend an appointment, please let us know. We request notice at least 48 hours in advance for Dental Clinic appointments and 24 hours in advance for all other appointments (except for Mental Health Clinic).
Please see below for clinic-specific policy.

Dental Clinic

It is the patient’s responsibility to keep scheduled appointments. The Dental Clinic requires notification of cancellation at least 24 hours prior to the appointment or earlier if possible. The Dental Clinic will consider an appointment Failed any time a patient has not given 24 hours advance notice of cancellation or has failed to arrive within 10 minutes of their appointment time. Patients who Fail 2 appointments in a 3-year period no longer be allowed to schedule appointments in Boynton’s Dental Clinic.

Massage Therapy Clinic

If patients arrive late to a Massage Therapy appointment, they will still be required to pay the full session fee regardless of how much time is left of the scheduled appointment.

By scheduling appointments with our Massage Clinic, the patient agrees  to attend all scheduled appointments in a timely manner. If a patient is unable to attend a scheduled appointment, the patient should cancel the appointment (612-625-3222) preferably one day in advance. In cases of extraordinary circumstances that do not allow one-day advance notice, the clinic appreciates to be informed about the missed appointment. Failure to cancel an appointment prior to the appointment time will result in being assessed a failed appointment fee. This fee is due when billed, or at the next appointment, whichever comes first.

The failed appointment fee schedule is as follows:

• Thirty-minute (30) appointment—$45 with no discount for student fee status
• Sixty-minute (60) appointment—$55 with no discount for student fee status
• Ninety-minute (90) appointment—$95 with no discount for student fee status
• Any further failed appointments will result in termination of care.

Termination of care will end Boynton Health Service Massage Therapy Clinic’s responsibility to provide care for a patient. It will then be the patient’s responsibility to find another Massage Therapy Clinic with which to continue care.  If you sign a release of information, Boynton Health Service Massage Therapy Clinic will work with a patient to facilitate the transfer of care. Boynton Health Service will be under no obligation to pay for any Massage Therapy care following termination from the Massage Therapy Clinic.

Mental Health Clinic

If patients arrive 10 or more minutes late to an appointment, they may be asked to reschedule, their appointment will be considered a Fail/Late Cancel, and they will be assessed a Fail/Late Cancel fee. Email reminders containing the Fail/Late Cancel Policy are a courtesy provided by Boynton to assist patients.

Patients unable to attend a scheduled appointment or group session must cancel the appointment before 1 p.m. the day prior. In cases of extraordinary circumstances that arise after 1 p.m. the day prior (e.g. physical illness), the clinic still appreciates to be informed about the missed appointment.

Failure to cancel an appointment before 1 p.m. the day prior to an appointment will result in assessment of a Fail/Late Cancel fee:

Failure to pay this fee upon receipt of billing statement may result in the charge being transferred to the student accounts receivable and/or an interruption or termination of services. Student accounts receivable may assess additional fees to collect this balance.

Failing or Late Canceling two scheduled appointments in a row or three appointments within six months at Boynton Health Service Mental Health Clinic will result in a scheduling hold being placed on a patient’s account, meaning the patient will not be able to schedule an appointment with the Mental Health Clinic. This hold can only be removed by presenting in person at the Boynton Health Service Patient Accounting Office (N325) and paying all outstanding fail-fees. Once fees have been paid and the hold is removed, the patient must present in person at the Mental Health Clinic to schedule the next appointment.

Termination of care will end Boynton Health Service Mental Health Clinic’s responsibility to provide care for a patient. It will then be the patient’s responsibility to find another mental health provider and pay for any mental health expenses. The Boynton Health Service Mental Health Clinic will help facilitate the transfer of care. In such circumstances, the Boynton Health Service Mental Health Clinic will provide urgent consultation for up to 30 days. Boynton Health Service will be under no obligation to pay for any mental health care following termination from the Mental Health Clinic.
